Sales Assistant

Department: Sales
Location: Shanghai, CN

Basic Function:  The primary responsibility of this key role is to provide administrative, sales/marketing and general operational support to the sales team. As our key administrative resource, you have a “get it done” attitude! You possess superior communication, interpersonal and project management skills. A detail oriented person with an appreciation for deadlines, you are very organized and able to multi-task working quickly while covering all the bases. You are a true team player who takes initiative, is solutions oriented and is willing to pitch in wherever help is needed.  There is no task, job or request that you aren’t willing to handle. In this multifaceted role, you will take direction from the Director of Marketing and be responsible for helping coordinate and execute various marketing/sales activities, and also ensure our office runs smoothly and efficiently.


Job Duties (include but not limited to):


Marketing/Sales Support



  • Coordinate and manage the scheduling and necessary logistics for the Intro to BI, Intro to Mobile, JumpStart and onsite DRA classes across the region – working with Events team at HQ and SE team lead
  • Assist Marketing Director with trade show and conference logistics including paperwork, ordering collateral and giveaways, onsite support as required, etc
  • Support  local events –logistics, name badge creation, onsite registration. E.g. Data Entry:  Input business cards and/or scanned lists into excel to create event attendee lists from trade shows or marketing events
  • Assist with planning and coordination of sales meetings and kick offs
  • Assist sales team with meeting preparation and presentation creation as required
  • Enter Purchase Order Requests, Vendor contracts, submit appropriate paperwork to AP and follow up to ensure payment received by vendor, etc
  • Book meeting rooms for customer meetings as requested
  • Process and manage expense receipts and submit for Country Manager and Sales Directors

Office/Operations Coordination



  • Act as office receptionist – answer phones, accept and send deliveries, greet guests and provide consistent in office support at all times
  • Maintain an up to date list of MicroStrategy employees – including sales, consulting, and education
  • Manage training centre and all logistics related to education classes at new MicroStrategy office
  • Manage, order and coordinate office supplies and monitor acceptable use policies
  • Facilitate on-boarding of new employees - ensuring laptops are being sent, resources are available and processes are followed
  • Coordinate work space – as needed for consultants and out of town visitors
  • Coordinate communications with landlords, property managers and local vendors
  • Manage employee pass cards and keys
  • Manage important outbound and inbound mail, couriers and related activities to ensure successful and timely delivery
  • Create draft cheque requests for incoming invoices including: grand & toy, fed ex, sprinting courier, initiate marketing, MSTR customer speaker expenses, etc
  • Ensure copies of all documents being sent to HQ are made and ongoing tally of incoming invoices and outgoing paperwork to Headquarter is created
  • Ensure a clean office environment - daily care and keeping of all office space including kitchen facilities – dishwasher, etc

Job Requirements:



  • 2+ years office administration experience, including experience in a sales admin or marketing coordinator role
  • Proficiency in Microsoft Word, PowerPoint, Excel and Outlook essential
  • Problem solver!
  • Superior organizational and planning skills
  • Excellent written and oral communications
  • Ability to work on multiple projects at one time with a strong attention to detail
  • High energy, enthusiastic, self-motivated team player with a positive attitude
  • Diploma or degree in marketing, communications, business, or similar
  • Attention to detail, sense of urgency, responsiveness, initiative and willingness to “pitch in” mandatory
